To achieve this, we recommend setting up the most commonly used title company contacts in advance in both Dotloop and Loft47. Once they are set up, agents can simply select the existing title company contact in Dotloop instead of creating a new contact each time.
Setup Steps
In Dotloop
- Add the title company’s primary/common contact, for example: Greg Smith.
- Enter Greg’s unique email address, for example: grace+greg@loft47.com.
- Set Greg's the company as ABC Title Company.
- Set the role to Escrow/Title.

In Loft47
- Create Greg Smith as a contact if he does not already exist.
- Assign him to the ABC Title Company organization.
- Set the Payable Name to ABC Title Company.
- Make sure the email address exactly matches the one in Dotloop.

If the same title company has another contact
- In Dotloop, for example, add Rachel Smith with her unique email and ABC Title Company as the company.
- In Loft47, create Rachel Smith as a separate contact and assign her to the existing ABC Title Company organization, and enter Rachel’s email address on her contact profile.
- Make sure Rachel’s email matches between Dotloop and Loft47.
For future deals
- When creating a loop in Dotloop, agents should search for and select the existing title company contact (e.g., Greg Smith) instead of creating a new contact for the same company.
- When the deal syncs to Loft47, the matching email allows Loft47 to use the existing contact rather than creating another duplicate.

Best practice: Set up the contacts for your most commonly used title companies upfront. This will help keep the Loft47 contact database clean and minimize duplicates from Dotloop imports.
