Merging Contacts

PLEASE READ & WATCH THE VIDEOS OF THIS ARTICLE THOROUGHLY!

We’ve opened up the ability to merge contacts for everyone using Loft.  However, there are a few things we need to mention before you start to merge your contacts.  Firstly, this action is permanent and if you make a mistake, we unfortunately can’t reverse this for you, so be careful!

Here’s a list of contacts you can freely merge:
Here's a list of contacts you should NEVER merge into each other

  1. Profile contacts into Agent contacts
  2. Profile contacts into Org contacts
  3. Profile contacts into other profile contacts
  4. Org contacts into duplicate org contacts
  5. Agent contact into their own duplicate contact
  1. Organization contacts into Agent contacts
  2. Agent contacts into OTHER Agent contacts
  3. Agent contacts into Profile Contacts

Important! Merging is irreversible and CAN NOT be fixed even by our dev team!

How do I know it's a duplicate?

Search the Brokerage>People's page for the contact and the duplication will show in the search results.
IMPORTANT! Before you merge, open each contact in a separate tab and make sure the Linked Contact field is blank, if not, unlink them.
If profile contacts are coupled to Org contacts (Contact field set as payable to Org), please follow the instructions in the LAST video below of this article.

How to merge contacts

Merging is really simple!  After you’ve identified the contacts you want to merge (maybe 2 or more in a list)

  1. Click on the contact YOU WANT TO KEEP
  2. IMPORTANT! Unlink it's Xero/QuickBooks Linked contact field FIRST
  3. Head to the account management section of that profile
  4. Click the ‘Merge’ button
  5. Search and select the profile you want to merge INTO the contact
  6. Type the confirmation word and proceed.
  7. Let the merge run, rinse and repeat until one contact remains
  8. Run a Xero or QuickBooks sync from your Activity page (click the blue Sync button)
  9. Link the remaining contact correctly to its respective contact in Xero/QuickBooks in the profile's Linked Xero/QuickBooks Contact field, for more information on contact linking read the following: Xero users QuickBooks users
  10. OR Do a Xero/QuickBooks Sync by clicking the Sync Button in your Xero/QuickBooks Activity page

Merging Organizations coupled with contacts.

When merging organization contacts that have profile contacts coupled with and payable to the organization contact, you want to make sure you decouple and keep the profile contacts open in another tab to couple them back up to the final merged organization contact.  Please take a few minutes to watch this process here
