Contact types explained

Loft47 uses contact types to control access, organize contacts, and ensure users only have access to the appropriate information.

Internal Contact Types

Internal contact types are used for people who work within your brokerage and need access to Loft47.

Admin

Admins can have full or office-level access to brokerage menus, deals, reports, and other brokerage information.

Assign this type to users such as:

  • Brokerage administrators
  • Conveyancers
  • Office staff

Admin access levels are configured by Loft47. Contact our team to request the appropriate access level.

Agent

Agents can:

  • Create deals and listings
  • Access their own profile
  • View and manage their own deals

Agents only have access to the deal information and menus available to them based on their role.

Broker

Brokers have the same access capabilities as Admin users and can also receive commission payments.


External Contact Types

External contact types are used for contacts outside your brokerage who do not require access to Loft47.

Profile

This contact type is used for:

  • Outside brokerage agent contacts
  • Contacts associated with business entities
  • Other external individuals

External Profile contacts do not have access to Loft47.


Buyer/Seller Contact Types

To improve privacy and ensure agents only have access to appropriate client records, Loft47 classifies client contacts as Buyer/Seller contact types.

Automatic Buyer/Seller Classification

  • All contacts previously added to a deal as a Buyer or Seller have automatically been updated to the Buyer/Seller contact type.
  • Any new contact added to a deal as a Buyer or Seller will automatically be assigned the Buyer/Seller contact type.
  • You can also create Buyer/Seller contacts directly from Brokerage > People for future deals.

Existing Contacts

If a contact has never been used as a Buyer or Seller on a deal:

  • They will not have the Buyer/Seller contact type.
  • They cannot be selected as a Buyer or Seller on a deal.

If needed, create a new Buyer/Seller contact profile or update the contact type to BUYERS/SELLERS type when applicable.

Updating Contact Types


Organization Contact Type

Organization contacts are used for businesses and companies associated with contacts in Loft47.

Examples include:

  • Law firms
  • Outside brokerage companies
  • Agent business entities
  • Other organizations

Organizations can be used alongside different contact types to properly associate a person with their company.
